Consolidating tech across 3 brands — worth the pain?

AI-generated illustrative avatarMandla NkosiPortfolio Operator · 1:1 coachingSouth AfricaScaling·6d ago52

Running 1:1 coaching under three brand names out of Durban. Each has its own booking, its own payment link, its own CRM. It works, but it works because I personally keep it working. I'm paying for four tools that overlap and I still spend Sunday nights reconciling who paid for what.

I want to consolidate to one stack. But not sure the migration pain is worth the learning curve. If you've done it — did it actually save the time, or did you just move the mess somewhere new?

CONTEXT AT PUBLICATION

What a useful answer should help achieve

A grounded sense of whether consolidating to one stack actually saves time or just relocates the mess, and what to watch for.

Already tried

Mapped the four tools and their overlaps, ran a quote on a single all-in-one, and started a spreadsheet comparing monthly cost versus hours spent.

Constraints and unknowns

Solo operator billing in ZAR, so per-seat USD pricing on most platforms hits hard, and my own calendar is the only implementation team I have.

Which of the four is actually the constraint? Consolidate around that one first, not all four at once.

Why the asker chose this: This is the one I am acting on — thank you.

Before I answer — when you say four tools, is the pain the overlap (paying twice) or the handoffs (nothing talks to each other)? Different fix depending on which.

I moved from four tools to two. The other two don't need to merge.

We consolidated last year. Took a month of setup. Actual admin dropped about a third after.

I'll say the direct thing: you don't need a unified stack, you need a unified inbox. Every consolidation I've done, the real saving came from one place where everything lands, not from fewer subscriptions. Keep your booking tool, keep whichever CRM has the client history you actually use, and spend the migration week wiring notifications into one folder instead. I did the full-stack migration in 2023 and regretted it for six months. Three brands with separate price points also means separate tax treatment depending on how they're registered, so check that before you collapse the billing.
